Construction Insurance Renewal Checklist

What contractors typically gather before a commercial insurance renewal.

Renewals tend to go more smoothly when the information is ready before anyone asks for it. Use this list to see what you already have and what may take time to pull together.

1. Renewal timing

  • Renewal date for each policy: workers' comp, general liability, auto, umbrella/excess, equipment, property, builders risk
  • Whether policies renew on the same date or on different dates
  • When your renewal process usually starts

2. Your operations and what has changed

  • A short description of the work you do today
  • Mix of work: commercial, industrial, or residential; new construction, remodel, or service
  • Your role on most jobs: general contractor, subcontractor, or direct to owner
  • States and metro areas where you work, including anywhere new
  • Revenue for the past year and a projection for the coming year
  • Largest current projects and upcoming bids
  • Headcount changes, new divisions, acquisitions, or new entities
  • Any higher-hazard or specialty work, if applicable: residential or habitational, roofing, excavation, demolition, structural, crane, utility work, or wrap-ups (OCIPs/CCIPs)
  • Any other coverages or exposures that apply to your operations, such as pollution, professional liability, cyber, employment practices, or bonding

3. Payroll and workers' compensation

  • Payroll by job classification, past year and projected
  • States where employees actually work
  • Use of 1099 labor, temporary or leased labor, and any PEO arrangement
  • Your current experience modification worksheet
  • Written safety program and safety training records
  • Return-to-work or light-duty program, if you have one

4. General liability

  • Revenue split by type of work
  • Amount of work subcontracted, in dollars or as a percent
  • Any work types you have added or stopped

5. Subcontractors

  • Your standard subcontract agreement
  • Insurance requirements you give your subs
  • How you collect and track subcontractor certificates

6. Commercial auto and fleet

  • Vehicle list with year, make, model, VIN, and where each is kept, including trailers and heavy units where applicable
  • Driver list, and how drivers are approved and driving records checked
  • General vehicle use and how far vehicles typically travel
  • Whether employees use personal vehicles for company business

7. Equipment, property, and builders risk

  • Owned and leased equipment list with values
  • Rented equipment and how often you rent
  • Office, shop, and yard locations, and any stored materials
  • Active or upcoming projects: location, estimated completed value, start and end dates, and project type

8. Contracts and certificates

  • Insurance requirements from a few recent GC or owner contracts
  • Requirements on upcoming bids that look different from what you are used to
  • Any certificate or additional insured requests you had trouble meeting

9. Loss history

  • Loss runs for each policy, for as many recent years as are available to you
  • Notes on any large or unusual claims, in your own words

10. Your own questions

  • What has changed in the business that your program may not reflect
  • Anything about the last renewal that was not explained clearly
  • What you want a second look at

Where Groundline fits

Groundline handles the front end only. If you submit a request, Groundline organizes what you share about the business, what has changed, and your renewal timing into the Groundline Brief. Groundline does not collect or review policies, loss runs, coverage, or other insurance documents, and does not give insurance advice.

If a request moves forward, any review is handled by a licensed commercial insurance professional, who identifies themselves and their firm first and requests any documents directly from you.

There is no cost to submit a request through Groundline.

This checklist is general information, not insurance advice. Items are typical examples, not a complete or required list.
